The wording is only as good as the record behind it.
- Check the actual state. Do not chase a contractor when their replacement is already waiting for your team’s review. A received file is not an approved one.
- Make the request precise. Name the exact document and date your organisation has chosen. Explain a correction only after a person has reviewed the file and decided what is needed.
- Use a private route. Insert your organisation’s real, scoped upload link. Do not paste a public folder or share sensitive files by open email if your policy requires a private portal.
- Record the outcome. Note when the message was actually accepted for delivery, any reply, the review decision and the next follow-up date. Copying text from this page records none of those events.
